- One contact for the tenancy, the condition of the flat, repairs and the rent picture

The service
What does a property management company in Baku do for an owner abroad?
It stands in for you. We take the tenant's calls, look at the flat with our own eyes, get repairs arranged once you approve them, and tell you what happened, so the tenancy keeps running between your visits.
A yearly let looks easy from abroad until the small things start. A tap that drips for a month. A tenant who stops writing because nobody ever writes back. A notice from the building in Azerbaijani that goes into a drawer. None of it is dramatic, and all of it needs a person in the city.
That's the job. You stay the owner, you set the rent and you approve the money. We do the parts of a tenancy that only work in person.

What's included
What does our property management in Baku cover?
Four areas: tenant handling, inspections of the flat, maintenance coordination and rental reporting. Between them they answer the three questions every absent landlord asks. Is the tenant settled, is the flat holding up, and where is the rent? Tasks are agreed per property.
Tenant handling
We're the person your tenant rings about access, a broken lock or a question on the lease. He gets an answer from someone in the same city instead of a phone that rings in another country, and a tenant who feels heard is likelier to renew.
Property inspections
We visit the flat and write down what we find: damp, wear, how the appliances are holding up, how the place is being kept. You learn the real condition of the property without booking a flight, and a fault gets caught while it's still cheap.
Maintenance coordination
When something needs fixing, we find the tradesman, let him in and check the work before he leaves. You approve the cost first. You never have to hunt for a plumber in a city where you know nobody.
Rental reporting
You get the rent position in writing: what came in, what went out, what's still owed. You can plan your own year around figures you can check, instead of a vague feeling that the flat is probably fine.
How often we inspect, how the reports reach you and which extra tasks we take on all depend on the flat and on what you want off your plate. Those points go in writing after the review, so nobody argues later about whose job something was.
Karobar Gateways is a consultancy and not a law firm. Drafting or checking a lease is done by qualified Azerbaijani lawyers we work with, inside the same arrangement, so it isn't a job that lands back on you. Filing tax on rent and signing off accounts still belong with a qualified tax adviser or accountant, and we name those parts before you start rather than after.

Roles
What do you still handle, and what do we take over?
You keep the flat, the decisions and the chequebook. We take the legwork a tenancy creates in Baku: the tenant, the visits, the repairs and the reporting. Lease drafting and anything tax related goes to a qualified professional.
| Task | You (the owner) | Karobar Gateways | Outside professional |
|---|---|---|---|
| Setting the rent and the lease terms | Decide and approve | Tell you what we see in the market | Lawyer drafts or checks the lease if needed |
| Talking to the tenant week to week | Kept informed | Handle it in Baku | Not needed |
| Seeing the condition of the flat | Read what we found | Visit and inspect | Not needed |
| Repairs and upkeep | Approve the cost | Arrange the work and check it | Tradespeople carry out the work |
| Rent reporting | Read it and ask questions | Prepare and send it | Not needed |
| Tax on rent received | Responsible as owner | Flag it so it isn't forgotten | Tax adviser or accountant |

Process
How does rental property management in Baku work with us?
It begins with a look at your flat, not with a contract. You send the details, we go through them with you, and you get a written plan with a quote beside it. We start only once you've agreed the scope.
Step 1
Send us your property details
Where the flat is, how big it is, tenanted or empty, and what's bothering you right now. The enquiry form and info@karobargateways.com both reach us.
Step 2
We go through it with you
We talk about the condition of the flat, the tenant you have or want, and which jobs you'd like to stop doing yourself. That conversation is what defines the work.
Step 3
You get a written plan and quote
It lists the tasks we'd take on, how often you'd hear from us, and which parts belong with a lawyer or an accountant. The fee sits next to them.
Step 4
We take over in Baku
When you say yes, the agreed tasks become ours and the reporting starts. You stay the owner and the decision maker.
The review costs you nothing but the details, and it ties you to nothing.

Which kind of management fits your property?
It depends on where the flat stands today. A tenanted one needs steady oversight. An empty one needs looking after and a letting plan. A flat just bought needs setting up. Nightly letting is a separate service with its own rhythm.
Already tenanted
There's a tenant in place and you want someone in Baku holding the relationship and watching the flat. We step in as the contact and keep you posted.
Empty or between tenants
An empty flat still needs airing, checking and paying for. We look after it and talk through your letting options, without predicting how long a tenant will take to appear.
Newly purchased
If the keys have just arrived, or you're still buying with our foreign buyer support in Azerbaijan, the management side can be planned before completion.
Thinking about guests by the night instead of a tenant by the year? That's a different business: changeovers, a listing to keep accurate and a cost base to match, so we run it as Airbnb setup and management in Baku. We'll compare the two routes with you during the review.

Who it suits
Who is our apartment management in Baku meant for?
It's meant for owners who can't get to Baku often. Investors from Pakistan, India and Bangladesh, and other English-speaking owners, who want the flat let by the year and looked after without running it down a phone line.
- You live abroad and reach Baku rarely, so months pass with nobody checking the flat.
- A cousin or a friend has been helping for free, and you can tell it has become a chore.
- You're buying an investment flat through our real estate services in Baku and want the management settled before a tenant moves in.
- You own two or three units and want one team reporting on all of them in the same format.
- You don't speak Azerbaijani or Russian, which makes dealing with tenants, building staff and tradesmen slow and uncertain.
It's probably not for you if you live in Baku and enjoy handling your own tenant. You may only need an occasional visit, and we'd tell you that rather than sell you a full service.
Fees and quotes
How is the management fee worked out?
We quote per flat, after the review. The fee follows the work the property actually creates: its size and condition, whether a tenant is already in, how many tasks you hand over and how closely you want to stay involved. Outside costs are listed separately.
There's no standard rate, because two flats on the same staircase can need very different amounts of attention. A newly finished flat with a settled tenant is a lighter job than an older one standing empty with repairs waiting.
- Our fee for the agreed tasks is written down before you commit to anything.
- Repairs, tradesmen, utility bills and any official charges are listed on their own, so you can see what reaches us and what reaches somebody else.
- No money is spent on your flat until you've approved it.
- Lawyers, tax advisers and accountants bill their own work. We don't fold it into our fee.
We make no promise about rent levels, how long the flat stays let or what it will return. Nobody can promise those things honestly, and an offer that includes them deserves your suspicion.
Tell us about the flat and you'll get a scope and a figure you can weigh up properly.

Why choose Karobar Gateways for property management in Baku?
Because we're in Baku and built to do the work rather than describe it. The service was set up for owners living in other countries, so writing to a landlord abroad is the ordinary way we work, not a favour.

Someone who can go
Our office base is in Baku. When the flat needs eyes on it, one of us goes, which is the single thing distance takes away from an owner.
Execution, not only advice
You don't get a list of recommendations plus the job of finding people to act on them. We carry out the agreed tasks ourselves.
One team behind the address
The same people handle purchases, company setup and short-stay rentals. As your plans grow, you aren't explaining your situation to a new firm each time.
Clear about where we stop
Tax and accounts need a qualified adviser, and we say so before you sign. The legal parts don't get handed back to you: lawyers we work with in Azerbaijan take those on with us.
If that's the kind of cover your flat has been missing, start with a review of it.

Locations
Which areas do we cover?
We manage residential property in Baku, where the team sits. If your flat is in the city, we can reach it. For property in another part of the country, tell us where during the review and we'll say plainly whether we can help.
Management only works if somebody can actually get to the door, so we keep this service inside Baku. Owners who are still choosing a city can start with our wider real estate services in Azerbaijan.
FAQs
Frequently asked questions
How much does property management in Baku cost?
It depends on the flat and the tasks you hand over, so the quote follows the review. Our fee is written down, and repairs, utility bills and official charges are listed separately from it.
Can you manage my apartment if I never visit Baku?
Yes, that's the situation the service was built around. Our team in Baku does the work in the city and reports to you wherever you are. A few steps may still need your signature, and a lawyer should tell you which ones.
Do you find tenants as well as manage them?
Looking after the tenant during the tenancy is part of the service, and finding one can be discussed at the review. We'll say plainly what we can take on for your flat. We don't predict how quickly a tenant appears or what rent you'll get.
Who pays for repairs?
The owner does, and nothing is spent without your approval first. Our part is finding the tradesman, letting him in and checking the job before he leaves. Repair costs stay separate from the management fee.
Do you manage short-term or Airbnb rentals too?
Not here. Yearly tenancies and nightly guests are run very differently, so short stays sit with our [Airbnb management service in Baku](/airbnb-management-baku/). We can compare the two with you at the review.
Do you handle tax on my rental income?
No. Filing and advice belong with a qualified tax adviser or accountant. We're a consultancy, so we point out that the tax side needs attention and make sure it isn't overlooked, but we don't sign it off ourselves.
